The vehicle’s license plate is clearly identified and you use Frotcom’s records to confirm that the vehicle was indeed speeding at the place and time reported by the police. You need to speak to the driver. The problem is the vehicle was used by various drivers. You cannot determine who was driving the vehicle at that particular time.

In many companies, vehicles in the fleet can be driven by different drivers, according to driver and vehicle availability. If that’s the case, you need a way of knowing immediately when drivers change, so that you can coordinate communications and register the trips executed by each driver.

Driving times monitoring

You just received another request to transport goods. You’re looking for the nearest vehicles to assign the job to. But how do you know if the corresponding drivers still have enough driving time available to execute the job in the available time frame?

If your company uses trucks to transport goods in Europe, chances are you are already familiar with Regulation (EC) 561/2006. This document provides a common set of European Union rules for maximum daily and fortnightly driving times.

Regulation 561 goes hand in hand with the use of tachos. That’s how your drivers keep track of their driving times and rest periods. Other areas of the world typically have some sort of regulation for limiting driving times.

How do you keep track of those times in your office to select the most suitable drivers and vehicles for new jobs?

How do you know you have not chosen a driver who has almost reached their driving time limit?

Asking drivers to supply you with that information is not necessarily the best solution. In fact, when you want to select the most suitable driver and vehicle for a new job, you would need to ask numerous drivers for their driving times.

You need something more consistent, more convenient.

Text communication with drivers

Calling drivers? Sure, that is often the only way, especially in urgent matters. But text messages have several advantages when you need to transmit information in a clear and concise way.

At Frotcom, there are numerous ways to communicate with drivers, from simple text messages to the delivery of job instructions.

Frotcom’s text messaging channels also allow you to select several drivers simultaneously and send a single message to all of them.

As long as your company policy permits it, Frotcom’s messaging system allows drivers to exchange text messages among themselves, which can be beneficial at times when cooperation between drivers can help solve problems.

Depending on your objectives, you can opt for one of several different text communication channels:

Integrated navigation: In this case, text messages are sent from the office to onboard navigation devices. Drivers also use these devices to send text messages to the office and to one another (when permitted by your company). In addition text messages and map navigation, onboard navigators are also used to send destinations to drivers, along with corresponding instructions.

Workforce management: In this case, text messages are sent from the office to the Android tablet devices in the vehicles. Drivers use these to navigate, to receive jobs dispatched to them from the office, to fill in forms and to notify the office about the progression of the services they are conducting.

Two alternative methods: Alternatively, you can also opt to use one of the following channels: a) SMS messages sent from Frotcom and delivered to drivers’ mobile phones; b) email messages, again sent from the office and delivered to the drivers’ smartphones via email. In both cases, drivers are also able to reply to the office using the same channels.

Fleet alarms

Be the first to know when something is not quite right.

One of your trucks has been stopped with its engine running for 10 min. The driver receives a notification to shut down the engine to avoid wasting fuel. Five minutes later, the engine status hasn’t changed. At this point the fleet manager is alerted to contact the driver, so as to avoid wasteful consumption.

There are numerous circumstances in which you need to react fast, when something is quite not right with vehicles in your fleet. In fact, Frotcom offers more than twenty different types of alarms that you can configure to your needs.

Among the most frequently used alarms are Area Entry and Area Exit alarms, Over Speed alarms and Idling alarms, but you will almost certainly find others that can be specifically suited to your company’s needs.

You can specify different levels of alarms and notify different people. For instance, as in the example above, you could set an initial alarm level to warn the driver and then scale up the alarm to a higher level if the situation remains unresolved.

You can’t find an explanation to determine why the fuel consumption of some vehicles fluctuates so much. You really need to get to the bottom of things and find out what is going on.

Fuel theft and unauthorized use is a persistent problem in many regions.

The Fuel management module allows you to control fuel levels and fuel consumption, as well as to compare the values read by Frotcom’s sensors with the fuel data entered manually or imported from fuel cost files, in the Cost management module.

Frotcom’s Fuel management works side by side with the Cost management module. When the two work together, you can also ensure that the fuel cost notes you receive reflect real fuel consumption.

Remote vehicle immobilization

Your vehicle was stolen. You immediately call the police. Although you can track the vehicle through Frotcom, you want to block it as soon as possible before it gets out of reach.

Do you need a way to block your vehicle in case of theft? Frotcom’s Immobilizer allows you to block your vehicle in case of theft.

For each vehicle, you will be given a unique code that will allow you to block and unblock thesystem. Use it either through Frotcom’s web interface or through Frotcom’s smartphone app.

For security reasons, vehicle immobilization will only take place once the vehicle is parked and the ignition turned off. When that occurs, immobilization will take place immediately.

From that moment on, trying to turn the engine on again will have no effect. Until you reactivate the vehicle by entering the unblocking code, the ignition will not work.

Add the “GPS Controlled” yellow sticker to your vehicle, to discourage thieves. This is probably as important as the installation of the immobilizer itself.

Vehicle access control system

You decide who gets in and what comes out.

You find out at the delivery point that part of your cargo is missing. You don’t know where, when or how it went missing. The lock on the door of the semitrailer seems to have been tampered with. You will have to indemnify your customer, who is obviously quite upset.

Situations like the one above can be very frustrating and harmful to your company, not only financially, but also because they undermine customers’ trust in your business.

With Frotcom’s Access control you can secure access to your vehicle’s cargo.

A door sensor is attached to each door of your semitrailer or van. Every time a door is opened or closed, Frotcom immediately detects it and updates the cargo door status for that vehicle.

Additionally, you can configure Frotcom to send you a notification whenever the door is opened outside of permitted places. For instance, you can establish that the door can only be opened at your warehouse and at the customers’ delivery points. Any action that opens a door outside of those locations will trigger an alarm and send you instant notification.

You can receive this notification by email or SMS (optional) and react immediately. You will also be able to see on the map where the door was opened.
